Five things that break in every growing institute

Each one was a real complaint before it became a screen. What follows is the part of the system that handles it, without anybody having to remember.

What happens today

“A student goes quiet and nobody notices for a month.”

Supervisor desk

Every student has a named supervisor and a weekly cycle. Fourteen days of silence turns the row red, and the student is on somebody's call list that morning.

5,800+ calls logged
What happens today

“Fees stop arriving and the follow-up depends on somebody remembering.”

Fee ladder

The fee ladder does the remembering. Each step changes what the student sees, holds their seat rather than losing it, and opens a case on the desk. When the fee arrives, the case closes itself.

3,600+ cases opened
What happens today

“Examinations swallow two weeks of staff time, twice a year.”

Exam room

The whole examination runs online, end to end. Papers are drawn from your question bank and shuffled per student, objective answers mark themselves, written ones go to a marking desk, and results open for everyone in one click.

5,060 papers, one term
What happens today

“Recitation and homework checking does not scale past a few hundred students.”

Checking queue

Students submit from the phone; checkers work through a queue. Audio plays at 1.5x, corrections go back in writing or in the teacher's own voice, and a third return moves that student to a call instead of a fourth correction.

Built for oral subjects
What happens today

“Nobody can say, today, how the institute is actually doing.”

Owner screen

One screen, real numbers, exportable. Admissions, collection, who is studying, who is at risk, which supervisor did the work. Counted from what happened, not from what was entered by hand.

The difference

Run a short course and an eight year degree from the same panel.

A course is a straight line: a syllabus, a few quizzes, a certificate. GroLayer LMS does that, and most platforms stop there. A degree is a different shape. Years inside a programme, terms inside a year, and a student who has to be carried from the first year to the last without the record breaking. Both live in the same installation.

How a programme is structured
4 OR 8 YEARS Programme ONE TO EIGHT Year TWO A YEAR Term ATTACHED TO THE YEAR Subject Lessons Quizzes Homework Examination
Swipe the diagram
The year closes on the result, not on the date. A student moves up when the marks say so, and an uncleared subject travels with them instead of being written on a register.
Weeks

Short course

A syllabus, lessons, quizzes and an examination, with a certificate at the end. Enrol, finish, done. The ordinary LMS job, handled properly.

4 years

Degree programme

Eight terms across four years. Subjects are attached to the year, results close the year, and whatever is not cleared follows the student forward.

8 years

Aalimiyat programme

Sixteen terms across eight years, which is what iPlus Madrasah runs on the platform today. 2,600 of their students sit inside this one programme.

Your call

Whatever you structure

Set the number of years, the terms inside a year and the subjects inside a term. The platform does not assume a length.

Programme, year, term, subjectNot one flat list of courses. A student sits in a year of a programme, and every screen knows which one.
Promotion and carry-overThe year closes on the result, not on the calendar. An uncleared subject travels into the next year on its own list.
A record that spans yearsTerm results, year results and the full history in one place, for a student who has been with you since year one.
Re-admission every yearContinuation, the fee for the new year and the seat are handled as one step instead of three.

One student, five desks

Nothing waits for a person to notice. What the student does, or fails to do, decides which desk the work lands on.

Four mechanisms most software leaves to memory

These are the places an institute quietly loses money and students. Here is exactly what the system does at each step, with nobody having to remember.

When a fee stops arriving
ActiveEverything is open. The student studies as normal.
GraceAccess continues for now. A reminder goes out and a case opens on the call desk.
LimitedLessons lock. The seat is still held, and it stays out of the capacity count.
StoppedAccess is withdrawn. The seat is still not given away, and the case stays open.
When the fee arrives the case closes itself, the seat is still there, and the student is back on Active.
How one examination runs
Step one Question bank 2,581 questions already sitting in it, tagged by subject.
Shuffled A paper per student Drawn from the bank and ordered differently for each seat.
Marking Two routes, one paper
Objective marks itself Written goes to a desk
One click Results day Marks, pass or fail, the answer sheet and the carry-over list, opened for everyone at once.
Whatever a student fails follows them into the next term as a carry-over, without anybody keeping that list by hand.
Recitation and homework, one loop
From the phone The student submits Hifz recited into the microphone, homework photographed.
In order Checker queue Audio plays at 1.5x, which is where the hours are actually saved.
Marks and audio reply The correction goes back
Accepted, loop closes Returned, loop repeats
Third return It stops being a correction The student moves to a supervisor call instead of a fourth attempt at the same thing.

Every tick clears on Monday, so the week starts clean and nothing carries over quietly.
The headache

Fee collection, from the plan to the reconciled report.

Ask any institute what eats the month and the answer is fees. Who has paid, who has not, who promised, who was given a concession, and which register has the truth. On this platform the whole line runs by itself, and what is left for a person to do is decide, not chase.

One fee, end to end
1, 3, 6 OR 12 MONTHS Fee plan RAISED ON TIME Invoice STUDENT PAYS Payment AND THE LEDGER Receipt APPLIED ON ITS OWN Scholarships PLUS BANK AND CASH 8 gateways RECONCILED Sales report
Swipe the diagram
A refund reverses the access too. If a payment is charged back, the student does not quietly keep what they paid for.
Plans of 1, 3, 6 and 12 monthsA student already on an older rate keeps that rate when you raise the price. A degree programme can be billed per year instead of per month.
Invoices raised without youThe due date arrives, the invoice exists, the student sees it on their own screen, and the reminder goes out. Nobody opens a register to start this.
Eight gateways, plus bank and counterRazorpay, Paytm, PayStack, Instamojo and four more, bank transfer with proof attached, and receipts your staff record by hand when a family pays in person.
Scholarship, coupon and walletA waiver, a discount or a referral credit comes off the invoice before the student ever sees a number. Approved once in the panel, applied every time on its own.
A ladder instead of a phone callFour stages when payment stops, the seat held rather than given away, and a case opened on the call desk at the same moment.
A report that actually reconcilesWhat was billed, what came in, through which channel, and what is still outstanding. Counted from the payments themselves, and exportable.

Your students stay, and they bring the next ones.

Two systems sit under this, and neither of them needs an advertising budget behind it. Referral turns a satisfied family into the next admission, and scholarship keeps a struggling one from becoming a dropout. Between them, the institute grows out of the students it already has.

The loop, once it starts
SUPERVISOR, SEAT HELD A student stays THEIR OWN LINK They refer someone JOINS ON THAT CODE New admission OFF THEIR OWN FEE Referrer gets credit Marketing loop NOTHING SPENT
Swipe the diagram

Referral, sitting inside every student account

Every student carries their own link or code. When somebody joins on it, the reward you set lands in the referrer's wallet and comes straight off their own fee. Nobody has to run a campaign for this to start working.

  • You set what it is worthDecide the reward for a successful referral, and change it whenever you want to push admissions harder.
  • It lands in their walletThe credit sits against the student's next invoice, so the benefit shows up on their own fee rather than in a promise.
  • You see who brought whomEvery admission traces back to the student who sent it, and to exactly what that admission cost you.

Scholarship, decided once and applied every time

A family that cannot pay the full fee does not have to become a family that leaves. A scholarship is approved in the panel and then simply happens, on every invoice, without anybody being asked again.

  • Full or partialA percentage or a fixed amount, for one student or for a whole category you define.
  • Approved in the panelThe request is reviewed once and the decision is recorded against that student, so nothing depends on memory.
  • Applied before they see itThe waiver comes off the invoice on its own, so the family is never quoted a number they cannot pay.

And the reason the loop keeps turning: they do not leave.

The seat is held, not soldWhen a fee stops, access narrows but the seat stays out of the capacity count. There is something to come back to.
Somebody is already callingFourteen days of silence puts the student on a named supervisor's list that morning, before they have decided to leave.
A scholarship before a dropoutA waiver approved in the panel costs less than losing the student, and it takes one screen rather than a meeting.
Leaving costs them somethingMarks, carry-overs and years of progress sit in that account. A long record is itself a reason to finish.
Twelve core modules

All of it included, nothing extra to licence

Supervisor management

Students are divided among supervisors by gender and capacity. Each supervisor gets a phone-first desk: today's list, risk colours, a six-step call log, and the student's whole history on one page.

2,100+students matched to a supervisor right now

Call desk

Failed payment, unfinished admission, fees overdue, studies stopped, a question the supervisor could not answer. Each opens its own case, in priority order, on a gender-matched team.

3,600+cases opened without anyone asking

Examinations

Question bank, timetable, a locked exam room with a server clock, automatic and manual marking, results day, and the carry-over list that follows a student into the next term.

2,581questions already in the bank

Recitation and homework

Hifz recited into the phone, homework photographed, both queued for a checker with marks, written comments and audio replies, and an escalation when a student keeps missing.

Oral-firstbuilt for recitation, not bolted on

Announcements

One message becomes a full-screen notice, a bell entry and an email, aimed at one track, one programme, or only the students whose fees have stopped.

4,500+announcement emails sent

Fee management

Plans of 1, 3, 6 and 12 months with the old rate locked, a four-step ladder when payment stops, the seat held instead of lost, and access withdrawn on its own if a payment is refunded.

4 stagesfrom active to stopped

Track system

A Fast and a Normal track over the same subjects. A student who changes track keeps every paper already passed. The results are carried across, not repeated.

2 tracksa change never costs a student their marks

Multiple programmes

Run a second or third programme with its own syllabus, its own supervisors, its own fees and its own admission window, inside the same installation.

Separateintakes, one admin panel

Payment gateways

Razorpay, Paytm, PayStack, Instamojo and four more gateways, plus bank transfer, staff-recorded offline receipts, wallet, coupons, scholarships, invoices and a sales report that reconciles.

8gateways, plus bank and offline receipts

Study circles

Weekly circles with groups, attendance, points, and an examination gate that depends on attendance. The part most software leaves to a register book.

Attendancefeeds the exam rule directly

Hosted for you, owned by you

It runs on our servers, so there is nothing for you to rent or maintain. Your domain and your branding sit on every screen, email and invoice, the data stays yours, and a full backup can be taken whenever you ask.

You pay a share of what you actually collect

One setup fee to build and launch it, then a platform fee of 3.33% on the payments your students make through the system. Nothing per student, nothing per seat.

3.33%

of every payment your students make through the system, invoiced once a month.*

* A minimum of ₹10 applies to payments below ₹300. On a small payment the percentage alone does not cover processing it, keeping its record and supporting the student behind it. Above ₹300 the 3.33% stands on its own and the minimum never applies again.

One time, before launch₹15,000

Setup, all your landing pages, customisation to your requirement, branding, gateway integration, data import, staff training and maintenance after go-live.

You keep₹87,000

At ₹300 a payment the percentage works out to ₹9.99, so the ₹10 minimum applies here. A quieter month costs proportionally less, and a month with no online collection carries no fee at all.

₹3,600₹119.883.33%

Your payment gateway charges its own fee separately, which goes directly to them. Fees you collect offline and record yourself are not counted at all.

What the ₹15,000 covers

  • Hosting on our servers. No server to rent, set up or maintain
  • The complete system, running on your own domain
  • All landing pages built for you. Home, programme, admissions, contact
  • Customisation to your requirement. Your structure, your rules, your wording
  • Your logo, colours and email setup
  • Payment gateway integration
  • Import of your existing students and records
  • Staff training and written guides
  • Maintenance and updates after go-live

What it does not include

  • Your payment gateway's own transaction charges
  • Email sending costs, once your volume needs a paid mail service
  • WhatsApp message costs, if and when you switch that on

How it starts

Four steps, in this order. Your part is to hand over the data and to look at it once before it goes live.

1

Conversation and demo

We learn how your institute actually works, and show you the running system.

2

Setup and design

Hosting, your domain, logo, landing pages, payment gateway and email.

3

Data and syllabus

Existing students, subjects and lessons are brought into the system.

4

Training and launch

Your staff are trained on their own desks, then students are let in.

Questions we are usually asked

Straight answers, including the ones about money.

Who owns the data?
You do. We host and maintain the system for you, so there is no server for you to rent or look after, but the records belong to your institute and a full backup can be taken at any time. We charge a platform fee; we claim nothing over your data.
How is the monthly bill worked out?
It is 3.33% of the payments your students make through the system that month. There is no per-seat charge and no per-student charge, so the bill moves with your own collection rather than with the size of your student list. A minimum of ₹10 applies to payments below ₹300.
Why is there a minimum on small payments?
On a ₹100 fee, 3.33% is ₹3.33, which does not cover processing that payment, keeping its record and supporting the student behind it. The ₹10 minimum keeps small-ticket institutes workable for both sides. Once a payment crosses ₹300 the percentage stands on its own and the minimum never applies again.
What exactly does the fee apply to?
Only to money your students pay through the system. Fees you collect offline and record yourself are not counted into it, and a month with no online collection carries no fee at all.
Can it be changed to match how we work?
Yes, and the ₹15,000 covers that customisation along with every landing page you need. The system was built from a real madrasah's requirements, so the supervisor's week, recitation checking, the carry-over list and seat holds are already part of it. Anything larger is quoted separately before it is built.
How long does it take to go live?
Setup, landing pages and branding take a few days. The real variable is your existing data and syllabus. The more ready your lists are, the faster it goes.
Is there a mobile app?
The site itself behaves like an app on a phone: a bottom action bar, large touch targets, and it returns you to the exact place you left. Students install nothing.
Does it send WhatsApp messages?
The capability is built in but stays switched off by default. Connect your Meta account and it starts working; the message cost is billed to you by Meta directly. Email works the same way: it is set up for you, and once your volume outgrows the free tier the mail service bills you for sending.

Ready to see your institute running on one system?

A demo takes half an hour. We walk through the live system with your own questions in front of us, the supervisor's week, an exam, the fee ladder, and you decide afterwards.
